Welcome to MindFuelBody. By booking a retreat, session, class, or becoming a member, you agree to the following Terms & Conditions. Please read them carefully.
Definitions
“Host” refers to the retreat/workshop/class/event organiser, Tamara Miller.
“Event” refers to all in-person and online offerings including retreats, workshops, classes, masterclasses, sauna experiences, and challenges.
“Coach” refers to Tamara Miller (certified UESCA Ultra Run Coach, Personal Trainer, and Nutritionist).
“Client” refers to the person booking a service (e.g. coaching programme, retreat, workshop, class, 1:1 call, hypnotherapy session, or membership).
“Class” or “Session” refers to in-person and online classes, hypnotherapy, guided visualisation recordings, and other resources.
Booking
(a) A booking is not considered confirmed, and no contract exists until full payment has been received or a deposit is paid (if applicable).
(b) By booking, you acknowledge and accept these Terms & Conditions.
(c) We never share your personal details with third parties.
Payment & Cancellation Policy
Unless otherwise agreed via an individual payment plan, the following terms apply:
General Policy for Events, Sessions & Retreats
A non-refundable deposit applies to all retreats and events that require a deposit. If the full amount is paid upfront and includes a deposit, the deposit portion is still non-refundable in case of cancellation.
Day retreats, 1:1 sessions (coaching, running, hypnotherapy), and classes must be paid in full at least 4 days before the scheduled start.
Multi-night retreats (UK and international) must be paid in full 6 weeks before the retreat start date. Failure to pay by this date will result in forfeiting your place, and no refund will be issued.
All prices are to be paid in GBP (£) and reflect the amount to be received in full, inclusive of any transaction fees.
Cancellation by You
If you can no longer attend:
(a) You must notify the host in writing at tam@mindfuelbody.com as soon as possible.
(b) Deposits are non-refundable under any circumstances.
(c) No refunds are given if cancellation is made less than:
4 days before a 1:1 session, class, or day retreat.
6 weeks before a multi-night retreat.
Please consider personal insurance to cover unexpected cancellations or travel disruptions.
Cancellation by the Host
If the host must cancel an event or retreat for any reason, you will receive a refund for any portion you have paid. No further compensation will be offered.
Travel Arrangements
All travel to and from the event is your responsibility. The host is not liable for delays, cancellations, or changes in your travel plans, or for any issues with travel documentation.
Health & Safety
(a) It is your responsibility to ensure you are physically and mentally able to participate.
(b) You must inform the host of any health conditions, injuries, or allergies in advance.
(c) You participate at your own risk in all activities, including yoga, trail running, cold water exposure, sauna, and guided meditation.
(d) If your condition requires approval from a healthcare provider, this must be submitted in advance.
(e) The host may decline participation if health or safety risks are present.
Sauna & Cold Plunge & Jungle Shower Use
By participating in any event that includes sauna and/or any kind of cold immersion use, you agree to the following:
Use is at your own risk.
You must be 18+ to enter the sauna or cold plunge.
No alcohol, drugs, nudity, or smoking allowed.
Follow sauna etiquette including short sessions (max 15–20 min), pouring only the provided water, and entering/exiting safely.
Jewellery should be removed to prevent burns.
Cold plunges and outdoor showers are optional and undertaken at your own risk.
The host reserves the right to refuse entry to anyone who appears intoxicated or poses a safety risk.
If you're booking for others, it is your responsibility to ensure they understand and agree to these conditions.
This sauna waiver applies for any events hosted at Happy River Retreat and The Forest Sauna.
Membership / Club Terms
(a) Your MindFuelBody Club Membership includes access to online content, live sessions, challenges, and a private community portal.
(b) Membership renews every 4 weeks from the date of purchase.
(c) Cancellations must occur before your next billing date to avoid charges. No refunds are issued once a billing period has started.
(d) All content is for personal use. Sharing login details or content externally is strictly prohibited.
(e) Community behaviour must remain respectful. Discrimination or harassment will result in removal without refund.
(f) By participating, you acknowledge all content is educational and does not replace medical advice. Please consult your GP before undertaking any physical or mental practice.
Digital Products & Sessions
All downloads, recordings, and content accessed through the membership or other services are provided “as is” and are not intended to treat, diagnose, or cure any condition. You accept full responsibility for your well-being while engaging with this material.
Never listen to recordings while driving or operating machinery.
Photography & Media
By attending an in-person event, you consent to being photographed or filmed. These may be used for any promotional purposes on websites, printed products, social media and other promotional channels.
If you prefer not to be featured, please inform the host before the event begins and your request will be honoured.
Liability
(a) You attend and participate in all events at your own risk.
(b) The host is not liable for loss, damage, or injury during or related to any service or retreat or on the way to and from the venue.
(c) We recommend securing appropriate travel, medical, and personal insurance before booking.
Amendments by the Host
Occasionally, changes may need to be made (e.g. yoga teacher, class times, sauna schedule, or open fire use due to weather or other arrangements). The host reserves the right to make such changes at any time. If a significant change becomes necessary, you will be informed as soon as possible prior to your departure.
Cancellation by the Host
The host reserves the right to cancel the event at any time. In this case, a full refund of the amount paid will be issued.
The Host’s Liability to You
(a) The host accepts responsibility for ensuring that the event is supplied as described and that the services they are contractually obliged to provide are delivered to a reasonable standard.
(b) The host does not accept liability for cancellations, delays, or changes caused by events outside of their control. These include but are not limited to war, threat of war, terrorist actions or threats, natural disasters, airport closures, civil unrest, industrial actions, technical transport issues, staff cancellations, or changes in your personal circumstances.
(c) The host is not liable for any injuries incurred during the event. Activities such as yoga, walks, trail runs, sauna, sea dips, plunges, and other wellness sessions are undertaken at your own risk. The host is also not liable for allergic reactions or illness due to food/drinks provided, nor for effects of guided meditation, visualisation or hypnotherapy. The host accepts no liability for any medical or psychiatric conditions that may develop during or after the event. Loss or damage to personal property is not covered.
(d) Encounters with wildlife or livestock may happen during hikes or trail runs. While routes are chosen with safety in mind, these interactions are at your own risk. You are advised to act respectfully and follow all guidance. The host is not liable for injury or incidents involving wildlife.
(e) The host reserves the right to remove participants from an event if their behaviour is deemed unsafe, inappropriate, or disruptive. No refunds will be given if removal is due to negligence, misconduct, or lack of care for others or the environment.
(f) Hypnotherapy and coaching can be powerful tools, but results vary. Success is not guaranteed. Your full commitment is essential.
No Liability for Possessions
The host cannot be held responsible for any loss or damage to personal belongings during an event, hike, or retreat.
Alcohol Policy
No alcohol is permitted on-site during any retreat or wellness event. These experiences are designed to support holistic wellbeing, which includes offering a space free from alcohol.
Assumption of Risk, Waiver and Release of Liability, and Indemnity Agreement
Declarations
This agreement is between the host/coach and the client. It applies to all coaching services, events, classes, and physical activities — whether in-person or online — including the Social Trail Tribe hikes or any online classes, even though they are free of charge and not considered formal coaching sessions.
Assumption of Risk
By attending or participating, you acknowledge and accept that:
Any physical activity (e.g. walking, yoga, running, cold plunges, etc.) is undertaken at your own risk - including barefoot walking and blind-folded meals
You may use equipment or facilities (public or private) that may carry inherent risks, including but not limited to: trails, forest paths, gym or sauna facilities, open water, stairs, and more.
Risks may arise even from activities supervised or hosted by the coach, regardless of whether injuries result from negligence (active or passive).
Participation in social media challenges, membership portal programs, or retreats implies voluntary engagement, and all associated risks are yours to accept.
Release
You agree to release and discharge the coach and their associates from all claims or causes of action related to injury, loss, damage, or death — including those arising from:
Use or malfunction of any equipment or facility
Improper or lack of maintenance
Negligent supervision or coaching
Transport to or from sessions
This includes injuries caused by the negligence of the coach, unless gross negligence or intentional harm can be legally proven.
Indemnification
You agree to indemnify and hold harmless the host/coach from any claims, legal fees, liabilities, or losses incurred through your participation or arising out of your own actions.
Acknowledgements
You agree that:
This release is intended to be as broad and inclusive as UK law allows.
If any section is found invalid, the remainder still applies.
You have read and fully understood this waiver and agree not to bring claims against the host/coach arising from the services provided.
No oral promises or representations override these written terms.

All content across the website, app community, membership portal, and emails is for general information only. It should not be considered a substitute for:
Medical advice from your GP
Mental health support
Nutritional guidance from a qualified dietitian
Personalised exercise programs from a certified personal trainer
The host/coach does not accept responsibility for any self-diagnosis or decisions made based on content shared.
Privacy Policy
By agreeing to these terms, you also agree to the Privacy Policy in full.
Cookie Policy
By agreeing to these terms, you also agree to the Cookie Policy in full.
Changes to Terms
The host/coach reserves the right to update these terms and conditions in line with the evolving nature of the business. It is your responsibility to check for the most recent version before any event, coaching session, or booking.
