MindFuelBody is committed to protecting your privacy and handling your personal information responsibly, transparently and securely.
This Privacy Policy explains what personal information I collect, why I collect it, how it is used, who it may be shared with, how long it is kept, and the rights you have in relation to your information.

2. The information I may collect
Depending on how you interact with MindFuelBody, I may collect and process:

This may include your:

telephone number;
address where required for a booking, purchase or service; and
social media username where you contact me through social media.
Booking, purchase and transaction information
If you book an event, retreat, workshop, activity or purchase something from MindFuelBody, I may process:
details of your booking or purchase;
payment and transaction information;
invoice information;
booking history; and
communications relating to your booking.
I do not normally store full payment-card details. Payments are processed by the relevant payment provider.
Event and retreat information
Where necessary to organise an event, retreat or outdoor activity, I may collect information such as:
emergency contact details;
dietary requirements;
accessibility requirements;
relevant experience or fitness information;
travel or accommodation preferences; and
other information you voluntarily provide to help me organise the activity safely and appropriately.
Some information you choose to provide, particularly information about health, injuries, allergies or accessibility needs, may constitute special-category personal data.
Where special-category information is required, I will only process it where an appropriate legal condition applies and, where required, with your explicit consent.
Communications
I may keep copies of communications you send to me by:

If you subscribe to the Mindful Monday Morning Mail, retreat or event updates, or other marketing communications, I may collect:

When you use the MindFuelBody website, certain technical information may be collected automatically, including:

Previous service records
Where you previously received coaching or another service from MindFuelBody, I may continue to hold appropriate records relating to that service where necessary for legal, contractual, insurance, accounting or record-keeping purposes.
3. Why I use your information and my lawful bases
I only use personal information where I have a lawful reason to do so.
To respond to enquiries
I use contact and communication information to answer questions and respond to requests.
Lawful basis: legitimate interests in communicating with people who contact MindFuelBody and running the business effectively.
To provide events, retreats, products or services
I use booking and customer information to process bookings, deliver services, manage attendance, communicate important information and provide customer support.
Lawful basis: performance of a contract or taking steps at your request before entering into a contract.
To organise activities safely
Where relevant, I may use information relating to dietary requirements, accessibility, emergency contacts or other information necessary to help organise events and retreats.

To manage payments, accounts and tax records
I process transaction and financial records for administration, accounting, tax and legal purposes.
Lawful basis: performance of a contract and compliance with legal obligations.
To operate and protect the website
Technical information may be used to maintain website functionality, protect the site from abuse or fraud, troubleshoot problems and understand how the website is being used.
Lawful basis: legitimate interests in running a safe, functional and effective website, together with consent where required for cookies or similar technologies.
To send newsletters and marketing
I may send marketing emails where:
you have specifically asked to receive them;
you have given consent; or
applicable electronic-marketing rules permit me to contact an existing customer about similar products or services.

4. How I collect your information

when you subscribe to a newsletter;

where appropriate, from an event partner or collaborator involved in delivering something you have booked.
If information is obtained from another source, I will only use it where I have a lawful basis to do so.

The MindFuelBody website uses cookies and similar technologies for functions such as:

remembering preferences;
analytics where enabled; and
understanding website performance.

6. Google reCAPTCHA
Certain website forms may be protected by Google reCAPTCHA to help prevent spam, fraud, automated submissions and website abuse.
When reCAPTCHA operates, technical and interaction information may be processed for security and risk-analysis purposes.
For reCAPTCHA customer data, MindFuelBody acts as the data controller and Google processes the relevant information as a data processor on behalf of MindFuelBody.
7. Who I may share your information with
I do not sell your personal information.
Where necessary, information may be shared with trusted providers that support the operation of MindFuelBody, including:
website and hosting providers such as Squarespace;
booking and scheduling providers;
payment processors;
email and newsletter providers;
cloud-storage and IT providers;
event or retreat venues and delivery partners where necessary for your booking;
accountants, insurers, legal advisers and other professional advisers; and
regulators, government authorities, emergency services or law-enforcement bodies where disclosure is required or permitted by law.
Only the information reasonably necessary for the relevant purpose will be shared.
Where a service provider processes information on my behalf, I expect them to protect it appropriately and only use it for the agreed purpose.
8. International transfers
Some service providers used by MindFuelBody may store or process personal information outside the UK.
Where personal information is transferred outside the UK, I take reasonable steps to ensure an appropriate transfer mechanism is in place as required by UK data protection law.
This may include:
UK adequacy regulations;
the UK International Data Transfer Agreement;
the UK International Data Transfer Addendum;
other legally approved safeguards; or
another permitted mechanism under UK data protection law.

9. How long I keep your information
I only keep personal information for as long as reasonably necessary for the purpose for which it was collected.
As a general guide:
unsuccessful or general enquiries may be deleted when they are no longer reasonably required;
newsletter information is retained until you unsubscribe or the mailing list is discontinued;
event and retreat information is retained for as long as necessary to administer the event and deal with any reasonable follow-up, legal, insurance or safeguarding requirements;
financial and transaction records are retained for the period required by applicable tax and accounting law;
records relating to previous services may be retained where reasonably necessary for contractual, legal, insurance or professional purposes; and
technical and cookie information is retained in accordance with the relevant provider settings and Cookie Policy.
Information may be retained for longer where necessary in connection with a legal claim, safeguarding concern, regulatory requirement or other legal obligation.
When information is no longer required, it will be securely deleted, anonymised or otherwise disposed of appropriately.
10. Data security
I take reasonable organisational and technical measures to protect personal information from:
loss;
unauthorised access;
misuse;
alteration; and
disclosure.
Access to personal information is limited to people and service providers who reasonably require it.
No internet-based system can be guaranteed to be completely secure, but reasonable steps are taken to minimise risk.
11. Marketing preferences
You can ask me to stop sending marketing communications at any time.
You can:
use the unsubscribe link included in marketing emails; or
email tam@mindfuelbody.com.
Opting out of marketing does not prevent me from sending service messages relating to an existing booking, transaction or other contractual relationship.
12. Your data-protection rights
Depending on the circumstances, you may have the right to:
request access to the personal information I hold about you;
ask me to correct inaccurate or incomplete information;
request deletion of your information;
request restriction of processing;
object to certain processing;
request transfer of information in a portable format where applicable; and
withdraw consent where processing is based on consent.
Some rights are subject to legal conditions and exemptions.
Your right to object
Where I rely on legitimate interests as the lawful basis for processing, you have the right to object to that processing in certain circumstances.
You always have the right to object to the use of your personal information for direct marketing.

The MindFuelBody website may contain links to third-party websites, platforms or social-media services.
Those organisations operate independently and may have their own privacy policies. MindFuelBody is not responsible for how unrelated third-party websites process your personal information.
15. Children
The website is not specifically directed at children under 13 and I do not knowingly collect personal information from children under 13 through the website.
If an event or activity is made available to younger participants, appropriate additional information, consent and safeguarding arrangements may apply.
16. Automated decision-making
MindFuelBody does not currently make decisions about individuals based solely on automated processing that produce legal or similarly significant effects.
17. Changes to this Privacy Policy
This Privacy Policy may be updated from time to time to reflect changes to the business, website, services, technology or legal requirements.
The latest version will be published on the MindFuelBody website with the date of the most recent update.
